Administration and Events Coordinator: Independent Contractor (PT), The Harvard Catholic Forum, Camb
The Harvard Catholic Forum (https://www.harvardcatholicforum.org/) offers lectures, panels, non-credit courses, and other programming in which the Catholic intellectual and cultural tradition engages academia, the professions, and the arts.
Location: The Forum operates from the St. Paul’s Campus, Harvard Square, and offers programs both there and in Harvard facilities. Administrative services are done remotely with check-in monthly meetings in-person; occasional event coordination is on-site in Cambridge.
Time Commitment: Project-focused and compensated hourly. Time commitment varies: 5-8 hours per week is average during university terms; individual weeks can be more or less. Much less during summer, and less than average during other university vacations. Individual weeks or special events may require more time and some flexibility.
Scheduling: Administrative tasks can usually be done on the contractor’s own time, with occasional on-site meetings and monthly check-in meetings. Most events are on weekday evenings in the 4:30-8:30PM time slot, and sometimes on weekends. Events (10-12 per year, Sept to Nov, Feb to April) are scheduled at least four weeks in advance, and notice will be given.
Reports to: Program Director
Compensation: hourly, $20/ hour, based on monthly invoices
Services:
Event coordination (on-site, with advance notice): handles set-up, takedown, and cleanup of furniture and food/ beverage; serves food and beverage as needed; greets audience, helps with seating; hands out and collects programs and surveys; collects audience question cards for speakers; provides accurate audience count reports; supports A/V Coordinator with equipment testing as needed. Overall, contributes necessary logistical support to ensure successful events.
Data collection and reporting (remote, with monthly check-ins): collects data from both paper and online surveys; produces reports using Excel of registration and survey response data and comments as directed by the Program Director; captures audience/participant and survey data from different sources and contributes to preparation of summary charts and presentations. Uses Excel, Word, pdf, and various Google-based programs with accuracy, efficiency, and attractive/user friendly output.
File management (remote): organizes, maintains, and improves files for individual events and other materials as directed by the Program Director, for completeness, accessibility, and consistency. Uses Google share and other electronic file formats to support the organization’s overall effectiveness.
Administrative support (remote): As needed, formats and produces Word or pdf documents for class materials, reports for donors, or marketing; compiles easily readable lists of program registrants or participants in Excel.
