Manager of Finance and Operations (FT), Apple Valley Catholic Community, Acton, Boxborough, Stow, MA
SUMMARY: The Apple Valley Catholic Community of St. Elizabeth of Hungary in Acton and Boxborough, and St. Isidore in Stow, is currently seeking a Manager of Finance and Operations to oversee financial responsibilities. This role involves assisting the Pastor in the financial/reporting tasks of both parishes within the collaborative. The ideal candidate should have experience in processing day-to-day accounting transactions and bi-weekly payroll processing. They must exhibit a keen attention to detail when handling and evaluating the finances of both churches. Additionally, the candidate will be responsible for collaborating with and supervising the Finance and Operations assistant. This individual will be a knowledgeable and skilled team member who will report directly to the Pastor and play a vital role in the management team. The individual in this position would need to work at the parish office in Acton 3 to 4 times per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Financial Management
Collaborate with the Pastor and Finance Councils to create, execute, and manage local financial policies and protocols. These guidelines encompass tasks such as collections, bill payments, payroll, personnel management, bank interaction and other duties as assigned by the Pastor.
Generate budgets, annual reports, interim reports, general ledgers, allocation summaries, and various managerial reports, providing financial strategies and suggestions to the Pastor and Finance Council.
Processes bi-weekly payroll using Paylocity System. Account for payroll and benefits: post bi-weekly payroll and monthly payroll processing invoices to the general ledger.
Oversee the management of collaborative operational and financial records and prepare for audits.
Monitor the operating budget of each Parish, and report regularly to the Pastor and the Finance Councils including making recommendations.
Handle bank relations including management of accounts and allocation transactions between parishes in the collaborative, including monthly intercompany cross charge and settlement.
Prepare General ledger account reconciliations on a monthly basis (including bank reconciliations and record RCAB loan activity for St Isidore).
Report weekly offertory results for publishing in bulletin, including results for Saint Vincent de Paul. Summarize donations received on behalf of Saint Vincent de Paul (“SVdP”) via online giving and prepare documents to support check payment to each SVdP conference.
Remit Special Collections (including Catholic Appeal) to the Archdiocese of Boston (“RCAB”) on a timely basis.
Correspond with Parishioners regarding EFT donations and year-end tax contribution letters.
Prepare checks for the Pastor’s signature, attaching appropriate documentation. Mail signed checks. Check processing through bank’s online secured portal.
Supervise Finance & Operations assistant.
Upload to Intacct the monthly credit card activity and other expense reports submitted by Staff members.
Record monthly activity from various applications that collect payments for Offertory, Special Collections, Faith Formation activities, Youth Ministry, Mission Trips and Mass intentions.
Keep confidential sensitive information.
Operational Management
Assist with the roll-out of Financial Appeals, Catholic Appeal, and Annual Holiday Raffle which includes working with printing & mailing vendor
Maintain the Parish Soft databases for the Collaborative.
Submit annual HIRD reporting as instructed by RCAB.
File annual Form 3-ABC with each Town’s Assessor as instructed by RCAB.
General
Attend meetings relative to the role, as necessary.
Other duties as assigned.
QUALIFICATIONS
Bachelor's degree in business, accounting, or a related field with over 5 years of relevant accounting experience.
Demonstrated experience in finance and accounting.
INTACCT Account System & Paylocity Payroll system experience is beneficial.
Experience handling confidential, sensitive, timely and critical matters using good judgment, tact, respect and discretion required.
Demonstrated experience in appropriate computer technology skills; must be proficient with Microsoft office suite software, especially familiar with Microsoft Excel, including the use of pivot tables, and downloading and uploading data between excel and different systems
Strong oral and written communication skills.
